This notice explains how the ASEC Daily Time Record (DTR) system, operated by Abdurauf Sawadjaan Engineering Consultancy, collects and processes personal data. It is provided in line with the Data Privacy Act of 2012 (Republic Act No. 10173).

Information we collect

We process employee 201 records (personal details and statutory identifiers such as SSS, PhilHealth, Pag-IBIG, and TIN), attendance timestamps, and the proof photo and GPS coordinates captured at each punch. Location is captured only at time-in and time-out events — never continuously.

Face data (sensitive personal information)

Where a site records attendance through a supervisor's phone, we may enroll your face so the system can tell who is punching. Face data is sensitive personal information under the Data Privacy Act, and we handle it accordingly.

We do not store photographs of your face. During enrollment the camera takes several frames, converts them into a list of numbers (a “template”) on the device itself, and discards the images. Only that numeric template is saved. It cannot be turned back into a picture of you.

Enrollment requires your consent, recorded at the time it is taken. The template is used for one purpose only: identifying you at time-in and time-out on your own site. It is never shared with any third party and never leaves our systems.

A face check never decides your pay. If it fails — poor light, dust, a hard hat — your supervisor records the punch by name instead, and the entry is flagged for review. You are never prevented from being recorded, and therefore paid, because the check did not work.

You may refuse or withdraw. You can decline enrollment, or ask for your face data to be deleted at any time, without affecting your employment — your supervisor records your attendance by name instead. Face templates are permanently deleted on request and when you leave the company. Unlike other records, deleted face data is not recoverable from any archive.

How we use it

Personal data is used solely to verify attendance, compute payroll in line with prevailing DOLE and Region IX rules, and maintain an audit trail of administrative actions. It is not sold or used for unrelated purposes.

Storage and security

Data is transmitted over encrypted connections and access is restricted to authenticated users; workers may view only their own records. Proof images are held in object storage and referenced from the database — never stored as raw files alongside your records.

Retention and your rights

Records are retained for as long as required for payroll, statutory, and legitimate operational purposes. You may request access to, or correction of, your personal data through your administrator.
